Privacy Policy SoLaunch Platform

This Privacy Policy informs you of the processing of personal data carried out when you use the website available at the following URL address: https://app.soscience.org/ (hereinafter, the “Platform“).
SOSCIENCE is a French organization expert in facilitating multi-stakeholder research and collaborations on innovative projects with positive impacts on society through the Platform.
When you browse our Platform or any web pages on SOSCIENCE-owned domains, as well as any SOSCIENCE-owned pages on third-party domains, we may collect personal data about you, in particular, to enable you to use our Platform.
In this respect, we take care to collect and process your personal data in strict compliance with applicable regulations, in particular European Regulation 2016/679 of 27 April 2016 (hereinafter, the “GDPR“) and French Law n°78-17 of 6 January 1978 known as the “Loi Informatique et Libertés” (together, the “Applicable Regulations“).

1. DEFINITIONS
The capitalized terms below have the following meanings when used in the T&C:
Platform: refers to the website accessible at the URL https://app.soscience.org or any successor website providing access to the Services, as well as any mobile application that can be downloaded onto a smartphone or tablet and that provides access to the website.
- Profile: refers to any account created by the User, accessible from the Platform and which is defined by a login and a password (hereinafter “Login Information”). The Profile gives access to the Services
- User(s): refers to any person using the Platform and connected to its Profile who can be a natural person or a legal entity.
- Services: refers to the access to the Platform and its features as described in the Terms and Conditions of Use.
2. WHO IS RESPONSIBLE FOR THE DATA PROCESSING CARRIED OUT VIA THE PLATFORM?
The Platform is published by SOSCIENCE, a French simplified joint stock company, having its registered office at 29 rue Galande, 75005 Paris, and registered with the Paris Trade and Companies Register under number 800 062 440 represented by its President (hereinafter “SOSCIENCE“), who can be contacted by email at the address: contact@soscience.org.
SOSCIENCE is the “data controller” within the meaning of the applicable legislation relating to personal data protection.
3. WHAT CATEGORIES OF PERSONAL DATA ARE PROCESSED VIA THE PLATFORM?
Through your use of the Platform, SOSCIENCE will process the following information:
- Your identification and contact data (first and last name, email address as mandatory information and other optional information such as a picture, organization, department/service, position, city, Profile title, biography information you would provide SOSCIENCE with, Profile URL, experiences and publication) necessary to create your Profile.
- Your collaboration data: expertises, industry sectors where you play and needs
- Your application data (personal information and data to complete the application form) when you apply to programs and projects on the Platform.
Personal data that is mandatory for SOSCIENCE, for the purposes described above, is indicated at the time of its collection. If you do not fill in these mandatory fields, SOSCIENCE will not be able to address your requests and/or provide you with its Services. The optional information is used to improve SOSCIENCE’s Services to you.
Other data is collected automatically when you access the Platform and use the Services:
- Identification and connection data concerning the terminal used: your IP address, your browser type and browsing information (date and time of connection, nature and content of http requests, etc.) are also collected for administration and/or statistical purposes, as detailed in the Cookies Policy;
- Anonymous information about your use of the Services: pages visited on the Platform and in connection with the Services, searches you carry out on the Platform;
This data is collected to allow the proper functioning of the Platform, but also to measure the Platform’s audience, depending on the choices made for the setting of cookies.
At the time of registration and at any time during the use of the Platform, you undertake to update the data and information concerning you. In this respect, you guarantee the truthfulness, accuracy and completeness of the information transmitted on the Platform and will be solely responsible for any error, omission or failure to update it.
4. ON WHAT LEGAL BASIS AND FOR WHAT PURPOSES ARE YOUR PERSONAL DATA PROCESSED?
SOSCIENCE may collect and process personal data on the following legal bases and for the following purposes:
A/ Based on the General Terms and Conditions of Use to enable you to create a Profile and to have access to the Services.
B/ Based on your consent to
- Improve the operation of the Platform by compiling audience statistics and customizing the Platform interface according to your preferences, in accordance with the Cookies Policy;
- Provide us and other users looking for collaborations (within Community) with your email address so that SOSCIENCE can contact you and others users looking for collaborations (within community);
- Provide us with your email address so that SOSCIENCE can send you notifications related to programs (Post-signup reminder – A reminder to send a registration if you signed up to this platform from a program’s page), related to applications (reminder to complete registration for a program, the program’s form, notification to confirm that you registered, that your application was sent, accepted or rejected).
C/ Based on its legitimate interest to
- Ensure the correct operation of the Platform securely based on its interest in managing its Platform,
- Respond to your questions and requests when you contact it by email based on its interest in responding to its Users,
- Manage any dispute, based on its interest in managing its relationship with Users.
5. WHO ARE THE DATA RECIPIENTS OF YOUR PERSONAL DATA COLLECTED VIA THE PLATFORM?
Your personal data is processed by SOSCIENCE and communicated to third parties for the purposes described below.
A/ Management of the Platform and Services
Authorized SOSCIENCE personnel have access to the personal data collected from you to ensure the correct operation of the Platform, to address your requests and to manage the relationship with you as a User of the Platform and Services.
B/ Third-party service providers
SOSCIENCE also communicates your personal data to service providers who intervene on a purely technical or logistical basis. These service providers are the hosting company, AWS, the service provider in charge of maintaining the Platform, Bubble and the service SendGrid in charge of sending emails.
C/ Analytics and Translation cookies
Your personal data are transmitted to third parties using cookies on the Platform, according to the choices made via the cookies banner and subject to your consent, under the conditions provided in the Cookies Policy.
The partners that use cookies on the Platform are Hotjar (to record the navigation user path).
D/ Protection and defense of SOSCIENCE rights
Your personal data may be communicated to third parties when such communication is required by law, regulation, or judicial decision, or if such communication is necessary in the event of litigation.
6. TRANSFER OF YOUR PERSONAL DATA OUTSIDE THE EUROPEAN ECONOMIC AREA (EEA): WHY AND HOW?
Your personal data can be transferred outside the European Economic Area, in particular in the United States through the No-Code Platform Bubble from Bubble Group Inc. that is hosted on AWS from Amazon.com, Inc. and through the Twilio platform sending email from Twilio Inc.
All 3 companies, Amazon.com Inc, Bubble Group, Inc., Twilio Inc. are part of the list managed and published by the American minister for trade of American companies considered as ensuring an adequate level of protection for personal data transferred from the EU.
However, these transfers are carried out with appropriate guarantees to ensure a sufficient level of protection of privacy and fundamental rights, in this case by signing standard contractual clauses adopted by the European Commission. A document listing the guarantees implemented by SOSCIENCE will be sent to you if you request it by e-mail to the following address: contact@soscience.org.
7. WHAT ARE YOUR RIGHTS REGARDING YOUR PERSONAL DATA?
Access and rectification
You have the right to access your personal data and to request the rectification of any data that should turn out to be inaccurate.
Erasure
You may also request the erasure of your personal data provided that it is no longer necessary for SOSCIENCE to keep it.
Opposition and limitation of processing.
You may also oppose the processing of your personal data or request a limitation of such processing unless the processing is necessary to respond to your requests or provide you with the Services.
Withdrawal of consent.
Where the processing of your personal data is based on your consent, you may withdraw this consent at any point in time. Withdrawal of your consent will not affect the lawfulness of any processing already carried out. This is particularly the case for all processing relating to cookies.
Portability.
You may moreover exercise your right to portability, i.e. to obtain, in a structured and machine-readable form, the personal data that you provided to us directly based on your consent or based on a contract with SOSCIENCE, provided that such processing is automated.
Directives.
You may also let us know your instructions regarding the preservation, erasure and disclosure of your personal data after your death and modify these directives at any point in time.
You may make a claim before the CNIL, following the process described on its website https://www.cnil.fr or to another data protection authority depending on the applicable law.
These rights may be exercised at any time by contacting SOSCIENCE in accordance with the terms of the section entitled “How can you contact us to exercise your rights and for any questions?”.
8. HOW LONG IS YOUR PERSONAL DATA KEPT?
Your personal data is kept for the time necessary for the accomplishment of the purposes described in this Privacy Policy, in accordance with the applicable regulations and legislation on personal data protection. These periods are detailed below.
For the purposes of this article, it should be noted that:
Active retention refers to the period necessary to achieve the objective (purpose of the processing) that justified the collection/recording of the data. In practice, the data will then be easily accessible in the immediate working environment for the operational departments in charge of the processing.
Your personal data will be deleted at the end of the periods mentioned in this article.
Requests
Your information relating to any request collected in the context of contact with SOSCIENCE is kept for the time required to respond to the request in the active retention and for 3 years from the last contact with you in the intermediate retention.
Profile data
If a Profile is created, your data will be kept until you delete your account, in the settings section of the platform, or after a period of inactivity of three (3) years on the account as from your last connection.
User base
As a User, your personal data will be kept in the User database for as long as you continue to use SOSCIENCE’s Services.
Application data
Your application data (such as your personal information and the application form) will be kept for 3 years from the date of your application in active retention.
Cookies
Your browsing and connection information (collected via cookies) will be kept for a maximum of two (2) years. For more information, you can read the Cookies Policy.
9. SECURITY
SOSCIENCE has put in place appropriate technical and organizational measures to ensure the confidentiality and security of your personal data against loss, destruction, alteration, unauthorized access or disclosure.

11. HOW CAN THIS POLICY BE MODIFIED?
The Privacy Policy may be amended and updated to reflect changes in SOSCIENCE’s practices or to ensure compliance with regulations when they are amended.
In such event, the revised Privacy Policy will be posted on the Platform with the last date of update, and you will be notified by a notification on the Platform inviting you to review the updated Privacy Policy.
